Residential Conveyancing Legal Secretary – Kingswood

We are recruiting for a Legal Secretary to join our Residential Conveyancing team based at our Kingswood office.

You will have the opportunity to work closely alongside the team with their busy caseloads in a well-supported environment.

The team consists of one Lawyer, one Senior Paralegal, one Senior Legal Secretary and one Administration Assistant.

The role

In this role, you will be undertaking a variety of administrative duties as directed by the lawyers. On a typical day, you can expect to be assisting with the following:

Secretarial and administrative work:

  • Typing, using SOS Connect to manage all current and archived matters, including managing and updating existing contacts and client data and creating new contacts, clients and matters.
  • Liaising with clients and external individuals.
  • Organising meetings, courses and travel arrangements when necessary.
  • Taking telephone messages, scanning post, and ensuring that post is sent.
  • Maintenance of file format and content in accordance with the Office Manual.
  • Assisting with reception duties when required.
  • Carrying out the various searches required as part of a normal property transaction.
  • Getting file audits to the relevant person.
  • Certifying client ID over Teams.
  • Dealing with onboarding using Legl.
  • Dealing with compliance paperwork and preparing for the Lawyer’s approval.
  • Providing quotes for potential clients.
  • Applying for redemption statements.
  • Applying for and obtaining management and freehold company information packs.
  • Preparing contract packs.
  • Drafting and submitting Stamp Duty Land Tax forms and registrations to the relevant authorities.
  • Preparing and submitting applications for registration at the Land Registry.
  • Preparing bills and completion statements.
  • Closing files.
  • Dealing with client enquiries over the phone and by email.

Accounts procedures:

  • Obtaining the approval of Accounts for all bills/claims prepared.
  • Obtaining payment on account from clients.
  • Requesting cheques and obtaining a Partner’s signature to cheques.
  • Notifying Accounts of incoming telegraphic transfers and preparing written requests for telegraphic transfers for accounts.
  • Counting money received from clients as petty cash payments-in.
  • Requesting the transfer of money between the client and office accounts.
  • Referring amendments to cheques and bills to Partners for approval and dealing with the formalities for such amendments.
  • Chasing money due when required.

The ideal candidate

  • Experienced Legal Secretary with experience in residential/commercial conveyancing. You will also be used to working in a fast-paced environment and to tight deadlines.
  • Hold a GCSE, Grade 4 minimum (or equivalent) in English and Maths.
  • Computer literate with experience in Microsoft Office, including Word and Outlook.

Location and working hours

  • Full-time, permanent (office hours are 9am – 5.15pm, Monday to Friday).
  • Part-time may be considered.
  • The role is based at our Kingswood office, but with the option to apply for hybrid working post-probation.
