Reception Support Assistant

We are looking for a Reception Support Assistant to join our Reception team with regular travel between our five offices (Bristol city centre, Bedminster, Bishopston, Kingswood and Thornbury).

The Reception Support Assistant provides vital assistance to the Reception Team Leader by providing flexible reception cover to all five of our busy Bristol-based and South Gloucestershire offices during periods of absence or increased workload.

Our centralised team of Receptionists answer all incoming enquiries via our firm’s switchboard system and distributes these accordingly, whilst supporting the wider Reception team and welcoming visitors to our offices. This role promises to be very varied and, at times, can be demanding, so the ability to work under pressure is essential.

The role

  • Provide reception cover to all five offices as and when required.
  • Greet all visitors, staff and clients on entry to the premises.
  • Ensure that the reception and waiting areas are always presentable.
  • Obtain ID from clients where required.
  • Taking new enquiry information over the telephone and passing this information to relevant departments.
  • Provide telephone cover when on reception or during busy periods.
  • Assist the Reception Team Leader with providing reception cover at our offices at short notice.

In addition to the above, this role holds some banking and postal responsibilities, such as:

  • Ensuring all monies received are recorded in the appropriate entry book and paid promptly.
  • Producing a posting slip for the monies and providing a copy for the file.
  • Being responsible for petty cash and ensuring appropriate records are maintained.
  • Ensuring outgoing cheques are printed on the correct account, and a report is sent to our Accounts department following each cheque run.
  • Opening, dating and passing on incoming post quickly and efficiently.
  • Recording hand deliveries and distribution to the correct personnel.
  • Franking outgoing post and dispatching at the Post Office (unless collected).
  • Checking stationery levels and ordering as and when required.

Training will be given on all tasks.

The ideal candidate

  • Have previous experience working in a busy reception role, preferably within a law firm.
  • Be presentable and have a professional approach as a first point of contact for our clients.
  • Have a confident telephone manner. Experience in regular client contact, by phone or in person, is essential.
  • Be computer literate with experience in using Word and Outlook.
  • Hold GCSEs in Maths and English – Grade 4 minimum (or equivalent)

An Administration NVQ Level 2 or 3 would also be preferred, but is not essential.

This is an ideal opportunity for someone who would like exposure to different areas of law.

Location and working hours

  • Full-time (office hours are 9am – 5.15pm, Monday to Friday)
  • The successful candidate may be based at the office best suited to them when not providing cover at other offices. This is to be discussed at the interview.
  • Travel to our other offices will be required (travel expenses will be paid).
