Residential Conveyancing Legal Secretary – Gloucester Road
We are recruiting a Legal Secretary to join our Residential Conveyancing team based at our Gloucester Road office in Bishopston.
The team’s work mainly consists of the sale and purchase of freehold and leasehold property, transfers of equity, and remortgages. The team comprises three Lawyers, a Solicitor Apprentice, and an Administration Assistant.
The role
In this role, you will be undertaking a variety of administrative duties as directed by the lawyers.
On a typical day, you can expect to be assisting with the following:
Secretarial and administrative work
- Typing, using SOS to manage all current and archived matters including managing and updating existing contacts and client data and creating new contacts, clients and matters.
- Liaising with clients, estate agents, mortgage lenders, and other third party stakeholders.
- Drafting letters and conveyancing forms.
- Organising meetings, courses and travel arrangements when necessary.
- Taking telephone messages, pulling and filing post, and ensuring that post is sent.
- Maintenance of file format and content in accordance with the Office Manual, photocopying and scanning documents as required.
- Assisting with reception duties when required.
- Reviewing and filing compliance documentation for anti-money laundering regulations, including source of funds evidence.
- Carrying out the various searches required as part of a normal property transaction.
- Getting file audits to the relevant person.
- Drafting and submitting Stamp Duty Land Tax forms and registrations to the relevant authorities.
- Preparing and submitting applications for registration at the Land Registry.
Accounts procedures
- Drafting bills and completion statements.
- Obtaining payment on account from clients.
- Requesting cheques and obtaining a Partner’s signature to cheques.
- Notifying Accounts of incoming payments and making requests for outgoing electronic payments.
- Counting money received from clients as petty cash payments-in.
- Requesting transfer of money between the client and office accounts.
- Referring amendments to cheques and bills to Partner’s for approval and dealing with the formalities for such amendments.
- Perusing monthly printouts and taking the required action including ensuring that all client money is placed on deposit where required.
- Chasing money due when required.
Any other reasonable duties as directed by your manager.

The ideal candidate
Our ideal candidate will be an experienced Legal Secretary with experience in residential/commercial conveyancing. You will also be used to working in a fast-paced environment and to tight deadlines.
The successful applicant will hold a GCSE, Grade 4 minimum (or equivalent) in English and Maths and be computer literate with experience in Microsoft Office, which must include Word and Outlook.
Location and working hours
- Full-time (office hours are 9am – 5.15pm, Monday to Friday)
- Part-time will be considered (minimum of four days)
- The role is based at our Gloucester Road office, with the option to apply for hybrid working post-probation
